1. Who we are
Data Cabinets Direct is operated by Comlynx Communications Limited, the data controller responsible for the personal information described in this notice.
Registered in England and Wales, company number 03614183.
Registered office: Radley House, 482 Brays Road, Birmingham, West Midlands, B26 2RT, United Kingdom.
Telephone: 0121 605 8477.
Privacy enquiries: use our contact form (please mention Privacy enquiry in your message), telephone us, or write to our registered office, marking your letter Privacy enquiry.
2. Information we collect
The information involved depends on how you use Data Cabinets Direct:
- Identity and contact details: your name, company, job role where relevant, email address, telephone number and billing or delivery address.
- Accounts: account identifiers, saved addresses, preferences and order history. Passwords are handled through the account authentication system rather than displayed to our team.
- Orders and payments: products, quantities, prices, order status, invoices, delivery records, returns, refunds and payment status or transaction references. Payment providers may collect card details through their own secure processing arrangements.
- Enquiries and support: messages, product questions, return or complaint details, and our correspondence with you.
- Technical and security details: IP address, browser or device details, session and security logs, and relevant activity needed to operate and protect the website.
- Consent and optional usage information: your cookie preferences and, only where the relevant technology is enabled and permitted, analytics or advertising measurement information.
- Trade arrangements: company and contact information needed for quotations, accounts or an agreed purchasing arrangement. Additional information may be requested if a credit facility is offered.
Where details are required to process your order or perform a contract, not providing them may prevent us from completing that order or answering the request.
3. Where information comes from
Most information comes directly from you through the website, an account, an order, email, telephone or a support enquiry. We may also receive relevant details from your employer or organisation, our payment and delivery providers, or public business registers where appropriate.
Where a separately agreed trade-credit or fraud-prevention process uses external information sources, we will provide any additional privacy information required for that process.
4. Why we use information and our lawful bases
UK data-protection law requires a lawful basis for using personal information. The main purposes and typical bases for this website are:

| Optional website analytics involving personal information | Consent where required |
| Optional advertising measurement, remarketing and personalisation | Consent where required |
| Direct marketing communications | Consent, or legitimate interests where appropriate and electronic marketing rules permit |
Where we rely on legitimate interests, we consider the purpose, its necessity and the effects on the people concerned. Rules governing access to information on your device also apply to cookies and similar technologies.
5. Marketing, analytics and cookies
Data Cabinets Direct does not currently offer a public product-update newsletter signup. If we introduce or send direct marketing, we will do so only where permitted by law and will provide a straightforward way to opt out. You can object to direct marketing at any time.
The storefront distinguishes between necessary/requested storage and optional Analytics and Marketing technologies. You can review and change optional choices through Cookie settings in the footer. You do not need to accept optional technologies to buy from us.
Our website supports ElasticSuite search/behavioural analytics and consent signalling for Google services. Google Analytics and Google advertising measurement are included only if separately configured; describing them here does not mean every such service is currently operating.
Read our Cookie Policy for more about individual technologies and consent controls.
6. Who we share information with
We may share the information necessary for a particular purpose with:
- Payment and fraud-prevention providers involved in processing transactions.
- Delivery and logistics companies fulfilling orders or assisting with delivery issues.
- Website hosting, infrastructure, security, ecommerce, search and IT-support providers.
- Analytics and advertising providers where their services are enabled and any required consent has been given.
- Professional advisers, including accountants, insurers and legal advisers.
- Public authorities where disclosure is required or permitted by law.
We share only information relevant to the purpose and do not sell personal information.
7. International transfers
Some service providers may store or access personal information outside the United Kingdom. Where UK data-protection law requires safeguards, we use an applicable lawful mechanism, such as UK adequacy regulations, the UK International Data Transfer Agreement or the UK Addendum to standard contractual clauses, as appropriate to the actual transfer.
You can contact us for information about safeguards that apply to a transfer involving your information.
8. How long we keep information
We keep personal information for as long as it is needed for the original purpose and for relevant accounting, tax, warranty, security, dispute-resolution and other legal obligations. Different records have different retention periods.
- Order, invoice and financial records are retained for the period required by tax and accounting rules.
- Support and warranty correspondence is retained while reasonably needed to resolve requests, administer warranties and address potential claims.
- Security logs are kept in accordance with operational security needs and applicable law.
- Cookie-consent and marketing-suppression information is kept for as long as reasonably needed to honour and demonstrate those choices.
We review the information we hold and remove or anonymise it when it is no longer needed, subject to relevant obligations.
9. How we protect information
We use technical and organisational safeguards intended to protect personal information against unauthorised access, misuse, loss and disclosure. Access is restricted to people and service providers who need the information for their work.
No internet service can guarantee absolute security. Please protect your account credentials and contact us promptly if you believe your account has been compromised.
10. Your data-protection rights
Depending on the circumstances and the lawful basis involved, UK data-protection law gives you rights to:
- Request access to personal information we hold about you.
- Ask for inaccurate information to be corrected.
- Request erasure or restriction of processing in appropriate circumstances.
- Object to certain processing, including direct marketing.
- Request portability of certain information.
- Withdraw consent where processing relies on consent, without affecting earlier lawful processing.
- Complain to the Information Commissioner's Office (ICO).
We will respond to valid requests within the period required by law. Some rights have exceptions and may not apply to every item of information.
11. Automated decisions and children
The online store uses automated processes to operate functions such as account security, checkout and relevant product or search recommendations. Any use of solely automated decisions that have legal or similarly significant effects would require additional safeguards and appropriate information under data-protection law.
The website is intended for people purchasing network-infrastructure products and is not directed at children.
12. Contact, concerns and policy changes
If you have a privacy question or wish to exercise a right, use our contact form and mention Privacy enquiry in your message, telephone 0121 605 8477, or write to Comlynx Communications Limited at Radley House, 482 Brays Road, Birmingham, West Midlands B26 2RT, marking your letter Privacy enquiry.
You may also complain to the ICO if you are unhappy with how your personal information has been handled.
We may update this notice to reflect changes in our services, providers, business processes or the law. Where a change materially affects how your information is used, we will take appropriate steps to notify you or seek consent where required.
